Insurance Claim

What Is an Insurance Claim?

An insurance claim is a request you send to your insurance carrier asking them to pay for a covered loss or defend you against a covered allegation. What is covered and paid is determined by your policy’s rules (terms, limits, and deductibles).

Why It Matters for Beauty and Bodywork Professionals

  • Claims activate your insurance policy’s payment or involvement when a client is hurt, property is damaged, or your equipment is stolen
  • Filing insurance claims helps keep you from paying for incidents out of pocket Venues and landlords expect you to know how to report incidents and provide documentation of handling those incidents

Report a claim immediately after an injury, property damage, theft, or if you receive a demand letter or other lawsuit notice. If you’re unsure whether something qualifies, provide notice of the incident and ask your carrier if they would like a formal claim to be opened. Don’t wait to “see how it goes,” since late reporting can complicate coverage or claim handling.

If an incident occurs, prioritize safety first, then gather as much clear information as possible, and notify your carrier as soon as possible. Careful documentation and maintaining a neutral tone in your statements help protect you and keep the claim process smoother.

  • Ensure safety first: Make sure everyone is safe and call 911 if necessary
  • Document: Gather photos/video, record the who/what/where/when of the incident, record witness names
  • Preserve evidence: Record/document information on damaged items, gather serial numbers, receipts; get a police report for theft
  • Notify the carrier: Use the claims phone number or portal to report the incident; you may be able to loop in your agent or broker for help
  • Stick to the facts: Do not admit fault, promise payment, or post details online
  • Organize files: Collect contracts, intake/consent forms, treatment notes, invoices, and other relevant documents

The claims process is essentially a structured review: you report what happened, and the carrier investigates the incident. The carrier decides if it’s covered, then either pays or defends you, and closes the file with documentation for your records.

  • Report: You submit details and documents to the carrier
  • Investigate: An insurance adjuster gathers statements, reviews records, and may inspect property
  • Coverage decision: The claim is approved or denied based on your policy language, exclusions, and limits
  • Payment or defense: For covered liability claims, payment is issued for medical costs, property repairs or replacement, or legal defense fees and settlements
  • Resolution: Claims are paid or denied, and the claim is closed; you may receive summary documents for your records

Prevent claim denials and make the claims process easier by avoiding these pitfalls:

  • Waiting too long to report an incident
  • Waiting too long to repair obvious safety hazards
  • Admitting fault or reimbursing the client before the insurance carrier reviews the incident
  • Posting online statements that conflict with your report
  • Throwing away damaged items before the adjuster sees them
  • Sending the wrong coverage to venues, like professional liability when they asked for general liability
  • Letting coverage lapse so the incident falls outside your policy period
